FAQ

Straight answers, including the awkward ones

If a question you care about isn't here, call 630-708-0271 and ask it.

Is the EHR really free, or is this a trial?

It is genuinely free, with no time limit, for as long as Synergy Business Solutions handles your revenue cycle management. There is no licence fee, no per-provider fee and no feature gate. It is not a trial and it does not convert to a paid plan.

So how does Synergy make money?

From the billing service. We are paid a percentage of what we actually collect for your practice. That rate depends on your specialty, payer mix and claim volume, and we quote it after reviewing your numbers. The EHR is free because a multi-year billing relationship is worth more to us than a software licence, and because running our billing team inside one system is cheaper than running it across two.

What happens if I stop using Synergy for billing?

The free EHR licence is tied to the billing service, so it would end. You can export your complete patient data in standard formats at any time — that data is yours and we will not hold it hostage — but you would need to move to another system or discuss a paid licence with us. We would rather you knew this before signing than discovered it later.

Is there a long-term contract?

Talk to us about term and notice period directly; we will put the specifics in writing before you commit. What we will say publicly is that we do not think a billing company that needs a lock-in to keep clients is a good billing company.

Can I try it before committing to anything?

Yes. Ask us for demo access and we will send you a sandbox login with sample patients. Click into the schedule, open a chart, write a note and look at the claim screen. No card, no call required first.

Do you migrate our data from our current EHR?

Yes, at no charge. Demographics, insurance, schedules, problem lists, medications, allergies and documents migrate. Historical narrative notes usually transfer as PDFs attached to the chart rather than as structured text, because that is what most systems will export. We are explicit about this up front.

How long does it take to go live?

Roughly four weeks for a typical small practice, depending on how quickly your current vendor releases your data and how much template customisation you want. We run both systems in parallel through the transition so billing never stops.

Do you handle credentialing?

Yes, and it is included at no charge with our RCM service — CAQH, NPI, Medicare, Medicaid and commercial payer enrolment.

What about our old accounts receivable?

We work it. Aged and denied claims that a previous biller gave up on are a normal part of what we take on during a transition, rather than something you write off.

Is SynergyEHR HIPAA compliant?

The system provides the technical safeguards HIPAA requires — encryption in transit and at rest, role-based access control, two-factor authentication, audit logging and session timeouts — and we sign a Business Associate Agreement with every practice. Compliance is a shared responsibility: we provide the controls, and your practice configures access and trains staff. We will send our security documentation on request.

What specialties do you support?

We work across primary care and a range of specialties, and we are particularly strong in behavioral health, psychiatry and telehealth, where the billing rules are complex enough that a general biller tends to leave money behind.

Can we use the EHR but keep our current billing company?

You can ask, and we will quote it, but we will also tell you honestly that this is not what we are built for and not where we are most competitive. If software alone is what you need, other vendors serve that better.
